All bookings and payments are non-refundable. If you are unable to attend, the amount paid will remain available as booking credit and may be used toward the same service on a future available date. Booking credit is valid for 12 months from the date of the originally scheduled session.

Any rescheduled session must take place within a 12-month period. After this date, any unused booking credit will expire and a new booking and payment will be required.

Please give us at least 24 hours’ notice if you need to cancel or reschedule. Cancellations made with less than 24 hours’ notice, or failure to attend without notice, may be treated as a no-show. In these circumstances, the session and booking credit may be forfeited, and a new booking and payment may be required.

Booking credit is personal to the named client, cannot be transferred or exchanged for cash, and applies to the service originally purchased. If our prices increase before you rebook, you may be required to pay the difference.

If we cancel your session, you may reschedule or receive a refund of the amount paid. Your statutory rights are unaffected.

Please arrive at least 15 minutes before your session to allow time for arrival, preparation and setup.

If you arrive late, your session may be shortened so that subsequent bookings are not affected. If you arrive more than 20 minutes late and there is insufficient time to provide the session, it may be treated as a no-show and the session may be forfeited.

Please check your confirmation email carefully. VRC Studios is not responsible for missed appointments caused by attending an incorrect address or location.

Raw, unedited or unselected image and video files are not included unless expressly agreed in writing before the session.

All raw files remain the property of VRC Studios. Your online gallery, including your final delivered images and watermarked raw preview images, will remain active indefinitely so that you may return to view your images or purchase additional edits at a later date. If this changes, we will notify you in writing and provide ample time to make any further selections and download your final delivered images. Raw, unedited files are retained for preview and selection purposes only and are not included as delivered files. Only professionally edited final images may be downloaded or used.

Following your session, you will receive access to a secure online gallery where you can review and select your preferred images.

Preview images are watermarked and provided solely for selection. They must not be downloaded, copied, screenshotted, shared, published, reproduced or edited.

Once your selections have been submitted, we will professionally edit and deliver the agreed number of final images in high-resolution format. Additional images may be purchased separately

Copyright in all images remains with VRC Studios.

Once full payment has been received, you are granted a non-exclusive, worldwide and ongoing licence to use the delivered final images for your personal and professional self-promotion as a performer or creative. Permitted use includes casting profiles, Spotlight, agency representation, personal portfolios, personal websites and organic social media.

Final images may also be supplied for casting announcements, performer biographies, production announcements and related press coverage, provided they are used solely to identify or promote you in connection with your professional work.

The standard licence does not cover magazine or publication covers, commissioned editorial features, advertising, sponsored content, paid media, brand campaigns, product promotion or any unrelated commercial use.

Any use outside the standard licence must be approved by VRC Studios in writing before publication and may be subject to an additional licensing fee based on the nature, duration, territory and reach of the proposed use.

If an image is used outside the standard licence without prior written approval, the person or organisation responsible will be required to pay the full applicable licensing fee for that use. Payment of the fee does not automatically authorise continued or future use, and VRC Studios reserves the right to require the image to be removed.

Images may not be sold, sublicensed, entered into stock libraries, commercially resold or supplied to a third party for any use outside the standard licence without prior written permission from VRC Studios.

Reasonable cropping, resizing and minor adjustments required by casting platforms or publications are permitted. Images must not be substantially altered, manipulated by AI or edited in a way that misrepresents the original work while remaining attributed to VRC Studios. We may request that our name or credit is removed from materially altered images.

By completing your booking, you grant VRC Studios permission to use the final images created during your session for its portfolio, website, social media, promotional materials and advertising, including paid advertising, without further approval or payment. VRC Studios will not sell or license your likeness to an unrelated third party without your separate written permission.

If you have any accessibility requirements, questions or concerns, please let us know as early as possible before your session. We will make reasonable efforts to accommodate your needs and ensure that your experience runs as smoothly and comfortably as possible.

By completing your booking and making payment, you confirm that you have read and agree to these terms.

These terms do not affect your statutory rights.
